Configuring fees for licensed events

This article is for certification brands.

To configure fees for licensed events, activate the  Price Groups module. For that, open the Account Settings, select the Price Groups tab on the left, and click Activate.

Price group is a set of parameters identifying what events to charge. It also includes data on how the event fee is calculated. Let's start by adding a new price group.

Click the  Add Group button. You will see a form below.

Depending on your business model, you can charge trainers:

  • per a whole event
  • per each hour
  • per attendee. 

Workshop Butler supports all three models. You choose an appropriate model by selecting Fee Per. Based on the unit type, the platform calculates a fee for each event. 

If you select Fee per hour, then two additional fields appear on the event form for trainers – Total hours and Hours per day. The number of total hours is used to calculate a final fee for the event. This number can also be displayed on certificates.

If you select Fee per attendee, remember that only attendees who marked as Participated are counted.

Define in what currency you charge for official events. Only euro and US Dollars are supported at the moment. If you need something else, please, contact us.

Charging different fees in different countries is a common approach as tickets in Switzerland and India cost differently for the same events.

Another approach is to charge different fees for different formats: online or in person

You can either define the countries and the format this group is applied to or choose Catch All. Catch All group is chosen by Workshop Butler when no other group suits an event. It's a safety net to make sure you charge every event no matter where it takes place. Alternatively, you can use the Catch All group if you have the same price for almost all countries except for a selected few.

It is important to note that you can create only one price group with identical parameters (like event types, number of learning modules, etc) for one country.

Set a number of learning modules for this group. During an event confirmation, a trainer would need to set a number of learning modules for paid events. Based on this number, an appropriate price group is chosen.

Important note: This option is available only when Support for learning modules is activated.

Select event types for this group. If you want to use the same price for all types of events, select no type.

Click Save Changes. The platform recalculates the fees for future or running events as you update the settings. The platform does NOT update the fees for past events.
