Email templates

This article is for training companies.

If you want to change the default text of automated emails, change their schedule, or add new notifications, use email templates. 

Important note: for now, email templates are available only to training company accounts, but we plan to change it in the future.

How to change the default text and the subject

Go to Account Settings and choose Email Templates in the left-side menu.

Choose the template you would like to customize.

Change the subject or the body and save changes.

How to schedule an automated email

Automated emails are attached to one of the five actions:

Important note: If you have automated approval of evaluations enabled and certificated is generated automatically as soon as an evaluation is submitted, the system will send an automated email attached to certificate generation, not to evaluation approval.

For now, you can schedule emails in relation to two of these actions: an event starts and an  event ends.

Thus, you can configure the time for an Event Reminder - before an event starts and for a Follow-up - after an event ends.

To set a schedule, do the following:

Go to  Account Settings and choose Email Templates in the left-side menu.

Choose the template you would like to set a schedule for.

Click Edit Settings.

Set a period and an action: before an event starts or after an event ends.

Save changes.

Schedule for three default emails cannot be changed:

  • The welcome email is sent right after an attendee registers.
  • Thank you for evaluation is sent right after an evaluation is submitted.
  • The certificate is sent after a certificate is generated.

How to add a new email template

You can add your own automated emails and schedule to send them before or after an event. For this, do the following:

Go to  Account Settings and choose Email Templates in the left-side menu.

Click the Add Notification button below the templates.

Set a  period and an action: before an event starts or after an event ends.

Add a subject and a body.

Save changes.

How to delete an email template

Click the Delete Notification link below the template body to delete a template. Note that it won't be possible to restore a deleted template and you will need to configure it from the start if you would like to add it again.
